Integration Setup Prerequisites

Before integrating with your CRM, please review the checklist  to ensure a smooth setup.

Required Accounts & Access

  • Active SalesAi account
  • Access to the correct SalesAi workspace
  • Permission to manage workflows, agents, integrations, and webhooks
  • Admin or Super Admin access to your CRM
  • Permission to create/edit workflows or automations
  • Permission to create integrations or private apps
  • Access to contact properties/fields
  • Access to API/webhook settings
  • Active middleware account (Zapier, Make, n8n, etc.) if applicable
  • Permission to create/edit automations

Zapier Requirements

  • Zapier Professional Plan or higher recommended
  • Access to Webhooks by Zapier
  • Ability to create Multi-step Zaps
  • Access to Filters and Paths
  • Optional: AI / ChatGPT actions

API & Authentication Requirements

  • API keys or OAuth authorization permissions
  • Private app credentials if required
  • Webhook configuration access
  • Examples include HubSpot Private Apps, Salesforce Connected Apps, or Go High Level API keys

SalesAi Workflow Requirements

  • SalesAi workflow must be ACTIVE
  • Agent assigned to the workflow
  • Phone number configured
  • Workflow trigger strategy decided before testing

Information to Have Ready

  • CRM name and edition/plan
  • Middleware platform being used
  • What data should flow INTO SalesAi
  • What data should flow OUT of SalesAi
  • Desired automation triggers

Phone Number Formatting Requirements

  • Use E.164 formatting
  • Correct example: +13175551234
  • Avoid formats like (317) 555-1234

Recommended Best Practices

  • Have test contacts ready
  • Have a phone number available for testing
  • Be prepared to screen share during troubleshooting
  • Keep workflows ACTIVE during testing
  • Test with your own contact record first
  • Use separate workflows for different use cases when possible

Common Integration Components

  • CRM Trigger → Middleware → SalesAi Webhook → SalesAi Workflow → AI Call → Post-Call Update
  • Example: HubSpot → Zapier → SalesAi → HubSpot Updates

  • Verify the Zap/workflow is ON
  • Verify the SalesAi workflow is ACTIVE
  • Review middleware task history/logs

  • Re-test webhook requests
