Book a Meeting Configuration
Learn how to integrate your Google Calendar or Outlook Calendar to ensure your agents can effectively book meetings with customers.

1. Enable Book a Meeting
- In the Actions tab, locate Book a Meeting and click Set Up.
- Enter a meeting title and description.
- Optionally add a meeting location (Zoom link, office address, etc.).
2. Connect a Calendar
If a calendar has not already been connected, choose one of the following:
- Google Calendar
- Outlook Calendar
Note: Only one calendar integration can be connected at a time.
Google Calendar Setup
- Click Connect Google Calendar.
- Ensure pop-ups are allowed in your browser.
- Select the Google account you wish to connect.
- Review the permissions and click Continue.
- Grant calendar access and click Allow.
- Click Finish to complete the connection.
Outlook Calendar Setup
- Click Connect Outlook Calendar.
- Ensure pop-ups are allowed in your browser.
- Enter your Outlook email address and complete the sign-in process.
3. Select Calendar & Booking Method
- Choose the calendar(s) the agent should book meetings on.
Select a booking mode:
Round Robin
- Meetings are distributed evenly among selected calendars.
- Rotates bookings to ensure equal distribution.
First Available
- Meetings are assigned to the first available calendar.
- Does not rotate between team members.
4. Configure Scheduling Rules
Set the following scheduling preferences:
- Time Zone
- Meeting Duration
- Buffer Time
- Minimum Notice Required Before Booking
These settings control when and how meetings can be scheduled.
5. Configure Availability
- Set available days and working hours for each calendar.
- If multiple calendars are selected, configure availability for each one individually.
- Click + Add Hours to create additional availability blocks.
- Use the trash icon to remove availability blocks.
6. Save Your Booking Settings
- Click Save to apply your scheduling and availability settings.
7. Enable the Action
- Verify Book a Meeting is highlighted in neon green.
- A green highlight indicates the action is enabled and available for the agent to use during conversations.
8. Finalize Your Agent
- Click Save Changes in the upper-right corner.
- Continue configuring any remaining agent settings as needed.
Quick Overview
Actions → Book a Meeting → Connect Calendar → Select Booking Mode → Configure Scheduling Rules → Set Availability → Save → Enable Action → Save Changes.
