Creating Smart Lists in GoHighLevel

Smart Lists organize the contacts uploaded in GHL. Tags are how we distinguish the different uploaded lists so that your targeting is accurate.

Follow these steps to Import Contacts into GHL

  • Click on Contacts on the left-hand side of GHL
  • Click on the Import symbol to Import Contacts
  • Upload your list of contacts as a CSV file. You can drag and drop or click Upload a file.
    Then click the Next button

Please include a first name, last name, and phone number in your CSV. This will help organize your contacts.

  • Next, you will need to map the Contact fields with the correct columns in the CSV file.
    If you have unmatched fields, make sure to check the Don't import data in the unmatched columns box.
    Once you are done, click the Next button
  • Set the Import name, then click Advanced
  • Scroll down and make sure to type in a tag name (this will appear on all contacts from this upload), and click the + "tag name" that appears underneath.

This is critical for how we will use the Smart List!

  • Click Submit to upload the list!

Creating Smart Lists for Campaigns

We will need several lists created for each Campaign we plan to run. The original lead list, those who have been Called, and those who Answered. We can create those smart lists using tags.

  • Click on Contacts on the left-hand side of GHL
  • Click on More Filters
  • Select Tag

  • Search for the tag you attached to the leads when importing and Click that list name.
  • Click Apply. You should see GHL filter to the leads you just added.
  • At the bottom of the Filters window, click the Save as smart list option. 
  • Add a name for the Smart List and hit Save

Smart Lists for Outbound Leads

You will need another Smart List to trigger the campaign to call the prospects. 

The "Call" tag we add to these contacts will trigger SalesAi Voice to call contacts, so don't attach it to contacts yet. The tag for Call should be created separately.

  • Select your new Smart list and click on More Filters

  • Click on the AND condition under the Smart list name
  • Click on the Tag filter and add the Call - "list name" tag to the search:
  • Click Apply. Your Filters set up should look like this now:
  • Click Save as new
  • Add a name for the Smart List and hit Save. I recommend: (Call - "List Name")


  • We now have the two lists we need for a Campaign!

You could create a "Called" Smart List as well to see who has already been reached out to by the Agent. This would the same process as creating the Call Smart List.
